At Latitude Guesthouse we believe a good stay begins with trust. This policy explains, in plain language, what personal data we collect when you visit our website, get in touch, or stay with us, why we collect it, how we keep it safe, and the rights you have over it. It applies to guests and visitors from anywhere in the European Union and beyond.

"We", "us" and "our" refer to Latitude Guesthouse. If you have any question about this policy or about how we handle your data, you can reach us at any time using the details above.

2. The data we collect

Data you give us

• Booking & stay details: your name, contact details, dates of stay, room and number of guests, and any preferences or special requests you share with us.
• Identification required by law: for guests staying with us, Portuguese law requires accommodation providers to collect certain identification data and to report guests' stays to the national authorities (the immigration and borders service).
• Payment information: handled by our booking and payment partners; we do not store full card numbers on our own systems.
• Messages: anything you send us by email, phone, contact form or social media.

Data we collect automatically

• Usage & device data: when you browse the website, we (and our analytics tools, with your consent) may collect your IP address, browser and device type, pages viewed and approximate location, through cookies and similar technologies. See section 4.

3. How and why we use your data

We only use your personal data where the law allows us to. Under the GDPR, these are the legal bases we rely on:

• To manage your booking and stay: confirming reservations, preparing your arrival, answering requests and providing the services you ask for. Legal basis: performance of a contract.
• To meet legal obligations: guest registration with the authorities, invoicing and tax records. Legal basis: legal obligation.
• To reply to your enquiries: when you contact us before or after a stay. Legal basis: our legitimate interest in assisting you.
• To understand and improve the website: measuring how the site is used. Legal basis: your consent.
• To send news and offers: only if you have asked us to. Legal basis: your consent, which you can withdraw at any time.

4. Cookies and similar technologies

Cookies are small text files placed on your device when you visit a website. We use them to make the site work and, with your consent, to understand how it is used. When you first arrive, a banner lets you accept all cookies or keep only the essential ones; you can change your choice at any time by clearing the cookies in your browser and reloading the page.

• Strictly necessary cookies: needed for the site to function and to remember your cookie choice. These do not require consent.
• Analytics cookies: help us see which pages are visited and how the site performs, so we can improve it. Set only with your consent.
• Third-party cookies: embedded content such as maps, our booking engine or social media may set their own cookies, governed by those providers' policies.

Most browsers let you block or delete cookies through their settings. Blocking strictly necessary cookies may stop parts of the site from working properly.

5. Sharing your data

We never sell your personal data. We share it only where necessary, with:

• Service providers acting on our behalf: our booking and channel-management partner, payment providers, website hosting and analytics providers. They process data only on our instructions and under a data-processing agreement.
• Public authorities: where we are legally required to report guest stays or to comply with tax and accounting obligations.
• Wine-tour partner: if you book a Vinhalva experience through us, we share the details needed to arrange it.

6. International data transfers

Your data is processed within the European Economic Area (EEA) wherever possible. If any provider processes data outside the EEA, we make sure appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses or an adequacy decision, so that your data keeps an equivalent level of protection.

7. How long we keep your data

• Booking and stay records: kept for the duration of your stay and for as long as needed to manage the relationship.
• Invoices and accounting records: kept for the period required by Portuguese tax law (currently ten years).
• Enquiries: kept only as long as needed to deal with your request.
• Marketing consent: kept until you withdraw your consent or unsubscribe.

When data is no longer needed, we delete or anonymise it securely.

8. How we keep your data safe

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. Access is limited to people who need it to do their work, and our website is served over a secure (HTTPS) connection.

9. Your rights

Under the GDPR you have the right to:

• Access a copy of the personal data we hold about you.
• Rectify data that is inaccurate or incomplete.
• Erase your data ("right to be forgotten"), where the law allows.
• Restrict or object to certain processing.
• Portability: receive your data in a portable format.
• Withdraw consent at any time, without affecting processing already carried out.

10. Complaints

If you believe we have not handled your data properly, we would like the chance to put it right, so please contact us first. You also have the right to lodge a complaint with the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD): www.cnpd.pt, or with the data protection authority in your own EU country.

We may update this policy from time to time to reflect changes in our practices or in the law. The latest version will always be published on this page, with the date it was last updated shown at the top.

13. Terms & Conditions

These terms govern bookings and stays at Latitude Guesthouse, operated by Thousands Chances - Unipessoal Lda (NIF 517600285), Local Accommodation registration no. 170304.

Booking conditions

Bookings are subject to availability and to confirmation of payment. To confirm a booking, the guest must complete the payment set for the chosen rate. Rates and any applicable fees are those shown for the establishment at the time of booking. All prices include VAT at the legal rate in force.

Payment

Payment may be made by the methods available at the time of booking. Guests are also subject to the particular rules of the establishment.

Cancellation

After confirmation, the cancellation conditions applicable are those of the rate chosen at the time of booking, which are shown clearly before the booking is confirmed.

Guest registration

The booking holder must be at least 18 years old and must provide a valid address, telephone contact and email. Under the applicable law, the accommodation of foreign nationals is reported to the competent authorities; all guests of foreign nationality must provide their identification data by the time of check-in.

Check-in and check-out

Check-in is from 4:00 pm. Check-out is between 8:00 and 11:00 am. Any change to arrival or departure times must be confirmed by Latitude.

House rules

Bathrooms are shared and located outside the rooms. Breakfast is not included. Pets are not allowed. Smoking is not allowed. Parties and events are not allowed. There is no private parking, but free parking is available nearby. Guests must respect the nighttime quiet period and must not disturb other guests or neighbours. Guests must notify Latitude of any damage occurring during the stay and may be held responsible for it.

Liability

Latitude's service is limited to its establishment and to the relationship with guests during the stay. Latitude is not responsible for occurrences outside the establishment, nor for damages, theft or loss not attributable to it, nor for failures in the supply of utilities beyond its control. In the event of non-compliance with these terms or misconduct, Latitude may require guests to leave without compensation or refund.

Governing law

These terms are governed by Portuguese law. Latitude may update these terms at any time; the version in force at the time of booking applies.

14. Consumer dispute resolution

In accordance with Law no. 144/2015 of 8 September, we inform consumers that, in the event of a dispute, they may resort to the competent alternative consumer dispute resolution entity: Centro de Arbitragem de Conflitos de Consumo do Distrito de Coimbra (www.centrodearbitragemdecoimbra.com). You may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr. More information at the Consumer Portal: www.consumidor.gov.pt.

You may also submit a complaint through the official Livro de Reclamações Eletrónico at livroreclamacoes.pt.
